We're hiring - Executive Assistant
We are looking for a motivated and passionate Executive Assistant to join our team, to provide administrative support to Climate Spring’s Executive Director and the Board.

Contract type: Part time, 3 days a week with flexible hours, Fixed Term, for 18 months (six months probation, potential for extension)
Contract start date: ASAP
Rate: £30,000
Location: Remote working with London, France and US based teams
This is an exciting opportunity to become a member of the team providing support to the Executive Director of a unique non-profit company focused on culture projects that address the climate crisis. This is a part time role working remotely.
THE COMPANY
Climate Spring is a unique organisation working to develop content with the world’s leading production companies and broadcasters. We are a team made up of film and TV professionals, climate and funding experts. Our primary focus is on identifying, supporting and developing a range of long-form content that is commercially viable within the global English language market. We also provide consultancy and training support to the entertainment industry on climate storytelling within a commercial context. We provide funding, advice, connections, coordination and partnership.
THE ROLE
We are looking for a motivated and passionate Executive Assistant to join our team, to provide administrative support to Climate Spring’s Executive Director and the Board, the role is primarily remote, however some in person meetings are preferred.
Key responsibilities:
Executive Support
- Manage the Executive Director’s calendar, schedule, travel, and daily workflow, ensuring priorities are well-structured and deadlines are met.
- Coordinate internal and external meetings, calls, and events, including logistics, briefings, agendas, and follow-up actions.
- Support inbox and communication management, drafting or preparing emails, correspondence, and briefing notes.
- Assist with preparing materials for presentations, board meetings, funder meetings, and strategic planning sessions.
- Support the Senior Management Team in managing the Board, including agenda setting, drafting of reports, obtaining relevant information and promptly producing minutes.
Operational & Administrative Support
- Maintain accurate records, documents, and databases, ensuring confidentiality at all times.
- Assist with budgeting, expense tracking, and financial administration as needed.
- Liaise with internal teams, board members, partners, and stakeholders to ensure smooth information flow.
- Support HR and recruitment processes (onboarding, scheduling interviews, document management).
Relationship Management
- Act as a first point of contact for the Executive Director with creative, philanthropic, media, and climate sector partners.
- Maintain positive, professional relationships across all levels of the organisation and external stakeholders.
- Help nurture Climate Spring’s growing network by coordinating outreach, follow-ups, and engagement activities.
- To work closely with the UK Development Coordinator and US Assistant Coordinator and provide scheduling support to the international team including US based events
Minimum role criteria:
- Proven experience working as a Personal Assistant/Executive Assistant at a senior level.
- Experience of providing administrative support and multi-tasking
- Demonstrates strong written and oral communications skills
- Interest in climate and environmental issues
- Proficiency using digital tools, including Google office suite, Zoom, Airtable, etc.
- Experience managing group virtual meetings with breakout rooms
- Experience handling confidential information with tact and sensitivity.
- Excellent interpersonal skills and the ability to communicate effectively and appropriately with a wide variety of internal and external colleagues and contributors.
- Able to work as a member of a team and work in a confident and collaborative way.
- Manage positive working relationships with colleagues.
